Staff Efficiency Calculator FAQs
A staff efficiency calculator measures how effectively your team converts payroll and staffing into output. It benchmarks revenue per employee (production and collections per employee), payroll % of collections, production per dentist, and the staff-to-dentist ratio so you can improve profitability without guesswork.
Many practices aim for excellent revenue per employee benchmarks of about $20,000+ in monthly production per employee and $18,000+ in monthly collections per employee. If you are below this range, focus on schedule utilization, case acceptance, and collections systems before adding headcount.
Payroll % of collections is calculated as (monthly payroll ÷ monthly collections) × 100. In this productivity calculator, a common target is 20%–28%. Above that range usually indicates an employee to revenue ratio problem (too much payroll for the collections coming in) or collections slippage.
A common ideal is 4–7 staff per dentist (excluding dentists). If the ratio is too high, overhead rises and revenue per employee often falls. If it is too low, bottlenecks show up in phones, room turnover, sterilization, and insurance follow-up—reducing production per dentist.
Start with process improvements: verify insurance earlier, reduce claims aging, improve financial arrangements, and follow up on unpaid balances consistently. These steps raise collections per employee and improve the employee to revenue ratio—often faster than adding new hires.
